Privacy Policy for Event Participation

The organizers of the event (hereinafter referred to as "the Organizers") are committed to protecting the privacy of event participants (hereinafter referred to as "Participants") and ensuring the security of their personal information. This Privacy Policy outlines the collection, use, and storage of personal information provided by Participants during event registration.

1. Personal Infomation Collected

During the event registration process, we collect the following personal information:

  • Email address

  • Full name

  • Hash name

  • Home kennel

  • Phone number

  • Emergency contact (name, relationship, phone number)

2. Purpose of Collection and Use of Personal Information

The personal information provided will be used for the following purposes:

Publication of Participant List: To create a list of event participants and publish it on the website (only hash names and home kennels will be made public).

Event Operation: To operate the event, including providing running activities, meals, organizing parties, producing related merchandise, and communicating with Participants.

Emergency Contact: To contact the designated emergency contact person in the event of accidents, illness, or other emergencies during the event.

3. Data Storage and Security

Participants' personal information will be securely stored on Google Drive. Access to this data is limited to authorized members of the Organizers who require access for the purposes described in Section 2. The Organizers will take reasonable measures to protect Participants' personal information from unauthorized access, use, or disclosure.

4. Data Retention

Participants' personal information will be retained for the period necessary to achieve the purposes outlined in this Privacy Policy, or as required by applicable laws and regulations. Generally, this will be for the duration of the event and a reasonable period thereafter for follow-up communications and record-keeping. Emergency contact information will be promptly deleted after the event concludes.

5. Participants' Right

Participants have the right to access, correct, or delete their personal information held by the Organizers.

6. Information Sharing

Except for the publication of the participant list as described in Section 2, we will not share Participants' personal information with third parties. However, we may share personal information in the following limited circumstances:

Emergency Situations: When necessary to protect the health and safety of Participants themselves or other participants during the event.

Legal Requirements: If disclosure is required by law or legal process.

7. Changes to the Privacy Policy

The Organizers may update this Privacy Policy from time to time. We will notify Participants of any significant changes by posting the updated policy on our website or by email.

Hotel Accommodation/ House Rule

For Comfortable Stay on the event, please keep following in mind.

① Accommodation rooms are shared with other Hashers

    (No private room is available)

② Bath rooms/Restrooms are shared with other Hashers, please use it clean.

③ Hotel amenities like towels are not available

④ Participants are responsible for setting up and putting away

     their futons and sheets, following provided instructions.

⑤ No shoes are allowed in the house, No slippers are available 

    (Use of your own slippers inside the house is OK.

      Feel free to walk barefoot inside the facility)

⑥ Free internet/Wi-Fi service is available in designated areas

⑦ Free car parking space is available

How can I select T -Shart Size 

The size is based on Japanese Size standard.

Japanese sizes are generally about one size smaller than US sizes.
For example, a Japanese Large (L) typically corresponds to a US Medium (M).

Therefore, if you usually wear a US size, you may need to choose one size larger when selecting a Japanese size.
